Last updated 2 October 2026. The short version shown in the app is the Terms of use; these terms include it.
1. About these terms
These terms are an agreement between you and Olivetree (Mallorca, Spain) ("we", "us"), who provide Bureaucat: the Bureaucat desktop app, its licence and update service, and this website. By installing or using Bureaucat, or buying a licence, you accept them. If you do not accept them, do not use Bureaucat.
Questions: o@olivetree.es.
2. What Bureaucat is
Bureaucat is software you install on your own Windows computer. It keeps your paperwork in one place on that computer, reads letters and notifications that public bodies, your school portal, your bank and your advisers send you (using your own digital certificate and your own mailboxes), explains them in plain English, keeps your deadlines, and helps you draft replies.
It only reads official systems. It never files, signs, pays or opens an official notification for you, and it only sends an email after you review it and press Send.
3. Free trial and licence
- Each computer can use Bureaucat free for 30 days. The free month is recorded by our licence server for that computer, so reinstalling does not restart it.
- After that you need a licence: €50 for one year (Spanish VAT included where it applies), for your own use and your household's, on up to 3 of your computers at a time. A licence is personal and cannot be resold or shared outside your household.
- Bureaucat checks your licence or trial with our licence server when it starts and about twice a day while it runs. It keeps working offline for up to 7 days after a check was due; after that it asks you to connect once.
- A licence does not renew automatically and we never charge you again by ourselves. Before it ends, Bureaucat reminds you; you renew by buying another year.
- Updates are included while your licence or trial is valid.
- If your licence or trial ends, your information is not deleted and you can still export it.
4. Paying
Payments are taken by Stripe, our payment provider, on a Stripe checkout page. We never see your card details. The price you pay is the one shown at checkout. After paying, your licence key is shown on screen straight away; keep it safe.
5. Refunds and your right to cancel
If you buy as a consumer, you can cancel your purchase within 14 days of paying and get a full refund, without giving a reason. Email us from the address you paid with, or include your Stripe receipt. After a refund, the licence key is cancelled.
Nothing in these terms limits your legal rights if Bureaucat does not work as described.
6. Refer a friend
- Each licence has a referral code. A friend who buys their first Bureaucat licence with your code gets 20% off their first year.
- Each friend who buys with your code takes 20% off your next year, up to 4 friends (80% off). With 5 friends, your next year is free. The discount is applied when you renew from inside Bureaucat. Friends counted towards a renewal are used up by it; further friends count towards the following year.
- Only a friend's first paid licence counts, not your own purchases, purchases that are refunded, or codes shared in ways that break these terms (for example on coupon sites or with fake accounts). Rewards have no cash value and cannot be transferred.
- We may change or end the referral programme for future referrals at any time; credit already earned is honoured for your next renewal.
7. Using Bureaucat properly
If you break these rules we may cancel your licence; if you are a consumer and we cancel without good reason, we refund the unused part.
- Use it for your own affairs and those of people (your family, your company) you are authorised to deal with. Only use digital certificates, mailboxes and accounts that are yours or that you are allowed to use.
- Do not copy, resell or share Bureaucat or your licence key, and do not remove, bypass or interfere with its licence checks, or reverse-engineer it except where the law allows.
- Do not use Bureaucat to overload, attack or misuse any official system, website or service it connects to.
8. Other services
Bureaucat connects, at your request, to services run by others: the Spanish tax office, Social Security and DEHú, school portals, your email provider (including Google and Microsoft), Google Drive, and the AI service whose key you add (Anthropic or OpenAI). Their own terms and privacy policies apply to your use of them. They can change or stop access at any time, and Bureaucat may then stop working with them until an update.
9. Use of Bureaucat is at your own risk
Bureaucat is software that helps you organise your own paperwork and read and answer messages from public bodies. By using it you agree to these terms. If you do not agree, please do not use it.
Bureaucat is provided "as it is", without warranty of any kind, express or implied, including that it will be error-free, uninterrupted, complete, up to date, or fit for any particular purpose.
10. Information, not advice
Bureaucat gives information and tools. It is not tax, legal, accounting, immigration, financial or any other professional advice, and it does not create a professional relationship. Deadlines, explanations, summaries, translations, drafts and figures it produces (including anything produced with AI) can be wrong, incomplete or out of date, and official rules and websites change without notice.
Always check anything important against the original document and, where a deadline, fine, appeal, residency or large amount is involved, with a qualified professional (a gestor, graduado social, lawyer or tax adviser) before you act.
11. You are responsible
- For everything you do or do not do with Bureaucat and with what it shows you, including filings, payments, replies, appeals, missed or late deadlines, and decisions about your tax, residency or family matters.
- For your digital certificate, passwords and API keys, for keeping your computer secure, and for keeping your own backups.
- For checking every email, draft or document before you send or file it, and for the accuracy of what you enter.
- For following the rules of the sites you connect to (the tax office, school portals, your email provider, AI provider). Official sites can change or block automated access at any time, and Bureaucat may stop working with them.
12. Limits of our responsibility
To the fullest extent the law allows, the makers of Bureaucat are not liable for any loss, damage, penalty, surcharge, interest, missed deadline, lost data or other consequence (direct or indirect, including loss of money, time or opportunity) arising from using, or being unable to use, Bureaucat, from errors or omissions in it, or from anything a third party (an official body, a portal, your email provider, an AI service, a gestor) does or fails to do.
Nothing in these terms excludes or limits any liability or any consumer right that cannot be excluded or limited by law.
13. Free and early-access versions
Versions given free or marked early access are provided for testing and feedback, may contain bugs, and may change or stop working. Keep your original documents and your own backups.
The full Terms of Service, including the licence, refunds and the refer-a-friend programme, are on the Bureaucat website.
14. Changes
We may update Bureaucat and these terms. If the terms change in a way that matters, Bureaucat asks you to accept the new version when it starts. The date at the top shows the current version.
15. Law and disputes
These terms are governed by Spanish law. If you are a consumer, you can bring a claim in the courts where you live, and you keep the protection of the mandatory consumer law of the country where you live. Please contact us first: most problems are solved quickly by email.
